General Summary

This position provides administrative support for the RAPS Education Department and operational support for various educational committees, and education programs. The education coordinator will perform duties such as coordination of committee meetings, taking and distributing minutes, accounting processing and tracking, record keeping, and working on special projects. The education coordinator will also answer routine email correspondence, assemble department-related information, and interact with a diverse group of external stakeholders as well as internal contacts at all levels of the organization. Organizational skills are required to plan, prioritize, and manage a diversified workload.

Essential Duties and Responsibilities

  • Schedules and coordinates meetings for various education-related committees, including determining availability, issuing invitations, sending agendas and taking and distributing post-meeting minutes.
  • Updates production schedule to reflect ongoing changes in education programming.
  • Establishes, develops, maintains and updates electronic files for the department. Ensures that documents are managed effectively and accurately according to operating procedures.
  • Assists education department with program management including management of production schedule to reflect ongoing changes in education programming, scheduling and creation of new programs, LMS and Zoom setup, workshop planning, communicating with presenters, collecting and organizing speaker materials and updating information for marketing collateral and the web.
  • Conducts QC reviews of web content, LMS products, and event setup to ensure products are presented accurately to all stakeholders.
  • Supports education department in maintaining finances including contract and invoice processing, reimbursements, check requests and reconciling department revenue and expenses.
  • Organizes and prioritizes incoming requests for assistance and information and works with team toward resolution.
  • Assists with education programs including webcasts, face-to-face, and online training.
  • Generates reports to include financial information, customer satisfaction and others.
  • Working with program managers, maintainers and updates department SOPs.
  • Serves as the department liaison to internal stakeholders and external parties. Handles confidential and non-routine information.

  • Experience with CadmiumCD event/speaker management systems.
  • Working knowledge of membership databases (Impexium preferred).
  • Experience with learning management systems
  • Experience using an elearning rapid development tool (Articulate360 PREFERRED)
  • Basic to intermediate HTML skills.
